Help / Run your shop

WhatsApp and the team inbox

Every chat from WhatsApp and the website chatbot lands in one inbox your whole team can work from.

In the app: Chats, Staff on WhatsApp

Customers write to your shop on WhatsApp or in the chat on your website. The chatbot (coming soon) answers, takes orders and shows prices. Every chat also lands in one shared inbox (coming soon).

The inbox #

Open Chats. You see every chat in one list. Use the filters Mine, Unassigned, All and Waiting over 15 minutes. Each row shows who has the chat: the bot or a person.

  • Assign. Claim a chat, or give it to someone.
  • Take over. When a person takes over, the bot stops for that chat. Tap Hand back to bot when you are done.
  • Notes. Write a note only your team can see.
  • Labels. Tag chats, for example "Complaint". A role can be limited to chats with certain labels.
  • Quick replies. Type / to use a saved reply. Item and price replies read the live price.
  • Customer beside the chat. See their orders, dues, store credit and language next to the chat.

The 24-hour window #

WhatsApp allows free replies for 24 hours after the customer's last message. A banner shows when the window closes. After that you can send only approved template messages. WhatsApp charges for those at its own price.

Meta's WhatsApp Business Platform only #

Tejas reaches WhatsApp only through Meta's WhatsApp Business Platform. It uses no unofficial app, no web-scraping tool and no linked-device client. Your number is never linked as an extra device, so it is not at risk of being blocked for that reason.

Staff without a smartphone app #

Staff can work only on WhatsApp. They get task messages with Done, Problem and More, and they can reply by voice. A shared counter phone uses a 4-digit PIN for each person. See Staff and roles.

Your shop's own WhatsApp number #

You do not need to set anything up to start selling. From day one, Tejas's own WhatsApp number sends your customers their order updates and sends you your sign-in codes. Connect your shop's own number only when you want to send offers, or want chats to come from your shop's name. It is your own WhatsApp account, so you keep it even if you stop using Tejas.

What we fill in for you #

  • Your shop's name, address, website link and category. From your shop's page in Tejas.
  • Your name and phone number. From the way you signed in.
  • Your catalog. Tejas keeps it in step with WhatsApp's catalog, and leaves out items that WhatsApp does not allow.
  • Your language. For the messages and the guide.

You type nothing that Tejas already knows. Your bank card is not asked for until you send your first offer.

Defaults #

  • The name customers see is your shop's name.
  • Your catalog is shared on WhatsApp.
  • Offers are off. Tejas sends offers only to customers who said yes to offers, and only from your own number.
  • If you share your number with another tool, Tejas answers only Tejas orders, your catalog and payment messages. Your other chats stay with the tool you pick.

Change them under Advanced before connecting. You never have to open it.

Steps #

  1. Open Website and integrations, then WhatsApp, and tap Connect your own number.
  2. Answer one question: How do you use WhatsApp for your shop today? Pick one of three answers.
  3. Follow the path for your answer below. Each path is a few taps.
  4. When the card shows Working, send yourself a test order.

Meta, the company that runs WhatsApp, needs you to tap a few buttons in your own Meta login. Tejas cannot do this for you, and nobody at Matih can do it for you. If you want help, tap Help me connect. A Matih helper stays with you on a call, or comes to your shop, and speaks your language. You tap on your own phone. You can stop at any step and carry on later from any phone.

I use the WhatsApp Business app #

Keep your app. Tejas connects next to it.

  1. Tap I use the WhatsApp Business app. Tejas checks the app version. You need version 2.24.17 or newer, and Tejas shows you how to update if you have an older one.
  2. Tejas shows a QR code. In your Business app, scan it.
  3. Your chat history and your contacts come across to Tejas.

Before you start, know what changes in the app once it is connected: disappearing messages, view-once messages and live location do not work. Broadcast lists can only be read. Groups do not come across. The WhatsApp app for Windows computers disconnects.

We are still testing this path for shops in India. Tejas shows it to you only when it is ready.

I already use another WhatsApp provider #

You do not have to move your number or stop your service.

  1. Tap I use another provider.
  2. Open the one-page guide. In your own Meta Business Suite, add Tejas as a partner on your WhatsApp account. This is Meta's name for sharing an account with another company. It does not mean Meta has approved Tejas.
  3. Tap Find my account. Tejas finds the account you shared and joins it. Your messages do not stop at any point.

Two things to know:

  • One answers each chat. On a shared number, Tejas handles only Tejas orders, your catalog and payment messages. All your other chats stay with the tool you choose.
  • Your provider keeps billing you. WhatsApp charges still go through your current provider's arrangement. Tejas tells you this before you connect.

If you would rather move everything to Tejas, you can. You delete the number at your old provider and connect it again. You lose the chat history, and your message templates have to be made again. Tejas offers this and never pushes it.

I want a new number #

  1. Tap I want a new number.
  2. Follow Meta's sign-up. Tejas fills in everything Meta lets it fill in.
  3. Your payment card is asked for only when you send your first offer.

If you get stuck #

  • No Facebook account. The guide shows how to make one in a few minutes.
  • Your number is on personal WhatsApp. The guide shows how to switch that number to the WhatsApp Business app, or lets you pick a new number.
  • An old app version. The guide shows how to update it.

Each step has a 60-second guide video in your language.

How many shops can connect #

Meta lets Tejas connect only a few new shops each week for now. If there is a wait, Tejas tells you the day you can start. Your shop sells on Tejas's own number in the meantime.
